What this guide covers: How to obtain an accurate FCL quote or a custom quote on the ChinAfrika platform, which transport modes and equipment options are available, and the operational steps between accepting your quote and your cargo's departure.

The speed and accuracy of a freight quote depend above all on the quality of the information provided in your initial request. Incomplete details โ€” an approximate weight, an unconfirmed destination port, or a vague readiness date โ€” force forwarders to work from estimates. These estimates often lead to rate adjustments once the booking is confirmed.

This guide explains how to use our quoting engine, choose the track that fits your shipment, and understand the steps that follow to keep your supply chain moving.

๐Ÿ’ก New to the Platform? If shipping terms or the ChinAfrika interface are unfamiliar to you, we recommend starting with our interactive Tutorial Library. Module 2: The Quoting Engine walks through the interface step by step, from port selection to reading your quote.

What to Have Ready Before You Start

To generate an actionable quote, confirm the following five key details with your supplier:

  • Commodity Description and HS Code: Knowing exactly what you are shipping and how it is classified internationally is essential. This classification determines destination duties and flags any carrier-specific safety approvals required before loading. Since classification errors are a leading cause of costly port holds, we recommend reviewing our guide on HS Codes: Getting It Wrong Is Expensive before finalizing your cargo description.
  • Cargo Specs & Container Requirements: For Full Container Load (FCL) shipments, specify your equipment type โ€” 20' Standard, 40' Standard, or 40' High Cube. For smaller volumes, note the total cubic meters (CBM) and gross weight. If your volume falls between 10 and 18 CBM and you are unsure which setup is more economical, refer to FCL or LCL? How to Choose the Right Shipping Mode to compare your total landed costs.
  • Chinese Port of Loading (POL): The export gateway closest to your supplier (e.g., Shanghai, Ningbo, Guangzhou, Yantian, or Tianjin).
  • African Port of Discharge (POD): Your destination gateway, depending on region โ€” for example Lagos (West Africa), Douala (Central Africa), Mombasa (East Africa), Durban (Southern Africa), or Alexandria (North Africa).
  • Cargo Readiness Date: The precise date your supplier will make the goods available. This allows the system to target active vessel schedules and rate validity windows.

The Quoting Engine: Two Processing Tracks

Our platform handles requests through two distinct tracks depending on your shipment type and equipment needs:

Track A: Instant FCL Rates

Reserved for standard FCL (Full Container Load) shipments on major China-to-Africa lanes. Enter your ports, select your standard container type and count, and our system generates a live, itemized price on screen instantly. To understand how origin and destination charges are broken down on your quote sheet, review our guide to Understanding Your Freight Invoice.

Track B: Custom Quotes

Used for specific cargo or alternative transport modes. This includes LCL (groupage), Air Freight, Bulk/Breakbulk, and special equipment such as Reefers (Temperature-Controlled) or Open Top/Flat Racks. Our desk reviews these requests manually โ€” consulting directly with special-equipment or conventional-vessel operators where needed โ€” and returns a quote within 48 to 72 hours.

While standard FCL remains the most cost-effective and streamlined option for large volumes, LCL suits smaller pallet quantities, air freight serves urgent shipments, and bulk handles raw materials. Specialized equipment ensures oversized, temperature-controlled, or regulated cargo moves in full compliance.

Booking: The Steps in the Process

Once you accept a quote (by clicking "Request Booking" on an instant FCL rate, or by confirming a custom quote), your shipment enters the operational pipeline. Here is precisely what happens at each step:

  • Step 1: Submission and Confirmation
Accepting the quote converts your rate into a pending booking request. Our operations team immediately verifies equipment availability, route feasibility, and cargo profile against current carrier allocations.
  • Step 2: Space Allocation and S/O Issuance
Once space is confirmed with the ocean carrier, we issue you a formal Shipping Order (S/O). The S/O contains the essential logistics instructions: container pickup depot and port cut-off dates (CY Closing Date).
  • Step 3: Supplier Coordination and Yard Delivery
For FCL, your supplier schedules empty container pickup, loads the cargo at their warehouse, and hauls the sealed container to the port terminal. For LCL, your supplier delivers the loose cartons directly to our consolidation warehouse for secure stuffing.
  • Step 4: Export Customs Clearance and Loading
Depending on whether you have subscribed to our documentation service, we coordinate โ€” with our internal team or your designated customs broker โ€” document verification (commercial invoices, packing lists, export licenses) and export customs clearance. To ensure the required documents are properly prepared at this stage, refer to our Document Checklist for Chinaโ€“Africa Imports. Once cleared, the container is loaded onto the vessel, and draft bills of lading (Draft B/L) are sent to you for confirmation.
  • Step 5: Shipment Tracking
Tracking activates as soon as your booking request is accepted, reflecting each stage of your shipment's progress. Real-time tracking, documentation archives, and estimated arrival updates (ETA) are fully visible in your myCall dashboard.

โš ๏ธ Remember: A quote is a price guarantee, not a space guarantee. Container space on vessels serving high-demand gateways like Lagos, Mombasa, and Durban is highly dynamic. To prevent delays or rate expirations, finalize your booking as quickly as possible after accepting your quote.
